Kew Park Rangers FC is a not-for-profit organisation, which collects information necessary to establish or maintain club membership and provide activities for people who are members of the organisation or have regular contact with it. All processing activities are conducted in accordance with the GDPR and with the Data Protection Act 2018. This privacy policy explains how Kew Park Rangers FC uses personal information and the steps taken to ensure information is kept secure.

What information do we collect from you?
We collect information from you when you become a member of Kew Park Rangers FC and register for the upcoming or current season. We do this via an online form hosted by commentarybox.co.uk. If players are aged 18 years or below, we will request parent/guardian/carer information.
Personal data, which we will ask for, includes:
- Date of birth
- Address
- School
- Medical details
- Contact details for player and/or guardian
In circumstances where players are competing in competitions or leagues, we will also request a passport photo, photograph and signature from the player, for league registration purposes. This will be collected by email or face-to-face conversations.
As part of the process of registering with Kew Park Rangers FC, you may have provided consent for you and/or your child to be photographed by club management staff or team managers, and for these photos to be shared on our website, social media channels or other official media outlets. If you would subsequently like to withdraw consent, please email caitlinsheldon01@gmail.com.
How will we use the information you provide us?
All information is held in a secure online system hosted by commentarybox.co.uk, which can only be accessed by the registration officer. Your data is used solely for the purposes of administering your membership (including being contacted by your age group’s manager and registration officer on key matters concerning team, training, and match information, as well as club news).
The registration officer will then share some key information with the player’s relevant age group manager; specifically medical details and contact details.
When registering, you will also have the option to opt in to the KPR newsletter.
Sharing of information with third parties
In general, any information you provide will only be used internally within the organisation. It will never be supplied to anyone external to Kew Park Rangers FC unless we are obliged or permitted by law to disclose it. For the purposes of League registration, the following information will be shared with the player’s respective league:
- Name
- Address
- Photo
- Signature
We will not share information about you with third parties for any other reason without your explicit consent.
What steps do we take to secure your information?
Your information will be stored on secure data servers hosted by commentarybox.co.uk, which implements technical safeguards such as automatic back-ups and recovery, multi-factor authentication, encrypted passwords, and encrypted sessions to secure this information.
Access to your information and correction/removal
You have the right to request a copy of the information that we hold about you. You also have the right to request for your personal data to be removed or to correct any information you think is inaccurate, at any time.

KPR volunteers/staff and third party coaches
Kew Park Rangers FC has two paid KPR freelancers. The roles of these individuals are outlined below:
Football Development Director:
- Submits all annual Club, League and FA registrations
- Completes the Club’s Annual FA Charter Renewal and DBS process
- Reviews and processes all fines received by the club for playing or administrative breaches
- Runs FA Coaching, junior administrator and refereeing courses
- Maintains Links with Surrey Youth League and Surrey County Girls League
- Team Coaching Mentor
IT & Social Media Officer/Strategy Officer / Registration Officer
- Maintenance and administration of the club website
- Posts all weekly news on Website, Twitter and Facebook accounts
- Sets and writes 5 yearly strategy and targets for FA, FF and SCFA
- Liaises with Football Foundation, Surrey County FA and Surrey Youth League and Council
- Business planning
- Sets strategy for fundraising and sponsorship
- Maintains the club’s player register and co-ordinates with squad managers to ensure that annual subs are collected from all players
- Maintains registration data and shares relevant data with managers
All other significant individuals and coaches are volunteers and not paid. All roles are listed below.

To ensure safety for our members, we have an extensive checking and approvals process for all staff, volunteers and third party coaches.
All coaches and managers have to complete DBS Checks, as well as FA badges that include a Safeguarding children certificate and First Aid certificate. All DBS checks are managed through FA and administered by the KPR Welfare Officer. The FA holds all Information; KPR does not hold any DBS data.
